Situación actual y balance de los archivos del sector: desarrollo económico, industria y turismo

This research presents an analysis of the current status and assessment of archives in the Economic Development, Industry, and Tourism sectors at the district level, framed within Colombian regulations and the guidelines set by the National Archives and the Bogotá Archives. It comprehensively examines document management in the sector, addressing its challenges, progress, and potential improvements to enhance operational efficiency and decision-making. Key aspects such as archive administration, implementation of archival instruments, archival policies, professionalization, and the use of technologies. Finally, specific recommendations are provided to contribute to future strategies in the sector.
Lineamientos para repositorios digitales de archivos musicales orientados a la preservación

This work aims to establish guidelines for the implementation of digital repositories of musical archives focused on preservation, with an emphasis on preserving the various formats used in musical creation. The guidelines are developed from the disciplinary perspective of archival science, with the goal of facilitating consultation and information access for any user interested in exploring this subject in greater depth. These repositories are expected not only to ensure long-term preservation, but also to serve as effective tools for the use, dissemination, and access to musical heritage and its diverse documentary formats. During the research process, digital guidelines were characterized as a tool for the preservation of musical documents. The main formats and types of music-related documents were identified, which allowed for the development of technical and functional guidelines aimed at ensuring the preservation of musical sound archives. To create this product, a research process was conducted to identify the most relevant attributes related to guidelines for musical repositories. Additionally, a comparative analysis of different storage formats—both digital and analog—was carried out using a matrix that evaluated key preservation aspects across four different repositories
Propuesta de descripción archivística a los carteles publicitarios de los cafés del barrio La Candelaria (Bogotá)

This research addresses the absence of a specific methodology for the archival description of advertising posters, particularly those located in cafés of the La Candelaria district in Bogotá. These posters, traditionally considered ephemeral documents, possess documentary, aesthetic, and testimonial value that justifies their inclusion in formal archival processes. The general objective of this work was to formulate a proposal for the archival description of advertising posters found in the cafés of La Candelaria, allowing for their proper identification, preservation, and access. Theoretical references included concepts such as archival description, cultural heritage, advertising posters, art curatorship, and the role of cafés as "third places" in social life. Following a qualitative approach, the research used documentary analysis as a method and applied techniques such as semi-structured interviews, content analysis, georeferencing, and descriptive records based on international archival description standards. Key results include the creation of a map showing the location of the cafés, a hybrid descriptive form, and a curatorial proposal with six thematic lines, allowing for the interpretation of posters as cultural objects of heritage value. The findings demonstrate that these visual elements not only serve communicative purposes but also preserve the social memory of the cafés and the surrounding urban environment

As it is known, Archival Science is a discipline closely tied to the passage of time and the social and technological changes that surround it. With the development of artificial intelligence and the automation of operational processes in both governmental and non-governmental entities, it is crucial to now, more than ever, consider the competencies and skills to be developed in the archival field regarding the proper use of these new tools in the profession's study axis: the lifecycle of documents and the appropriate access to information over time. This undergraduate thesis aims to analyze and propose the competencies and skills that professionals in Archival Science and Digital Information Management should develop in response to artificial intelligence and its integration within the professional field.
Propuesta de preservación digital de la memoria oral en relación con los métodos de conciliación de la comunidad indígena Wayuu

In response to the issue of the loss of valuable cultural information and the lack of preservation structures, this study proposes a strategy to protect the oral memory of the Wayuu indigenous community in relation to their conciliation methods. These systems of arrangement have been transmitted in their cultural legacy for many centuries through these traditions. Given the lack of a documentary scheme and the limited attention from authorities and organizations responsible for cultural preservation in the conservation processes, this is emphasized as a main objective. Through the formulation of a digital preservation proposal that ensures the sustainability and accessibility of these valuable indigenous records for the future.
Construcción de la memoria documental de la agrupación entre ritmo cuerpo y espacio (ERCE-DANZA)

Summary This monograph investigates the significance of visual documentation in memory preservation and construction. It focuses on the ERCE-Danza group's dancing practice, which was conducted in Bosa Laureles from 2018 to 2023. The proposal calls for the use of photography to create a documentary record, acknowledging that the documentation not only documents artistic endeavors but also acts as a repository of the group's social and cultural evolution, strengthening ties and reflecting its past. Through a mixed-methodological investigation, the ERCE-Danza group's perspectives and experiences were examined. The management and classification of visual memory documentation was approached by incorporating photography with additional narrative to enhance the documentation process. Consequently, it employs the human digital platform "TROPY" to systematize the photographs, making it easier to preserve and organize the visual memory. The document highlights how photography has been used as an essential tool to conserve the dancing practice, identifying the body, the moment itself, and the rhythm as significant visual categories in the group memory record. This project not only presents dancing as art but also strengthens the identity and group unity, promoting a valuable memory and cultural heritage. Metodología para diagnóstico integral de archivo en una entidad privada – Acopi Bogotá - Cundinamarca

This thesis presents a methodology for conducting a comprehensive archival diagnosis at the Bogotá-Cundinamarca branch of ACOPI, an association representing Colombia’s micro, small, and medium-sized enterprises (MSMEs). The study identifies the absence of a Document Management System (DMS) and inadequate archival infrastructure, which undermines administrative efficiency and regulatory compliance. Using a qualitative research approach, tools such as surveys, direct observation, SWOT analysis, and a diagnostic checklist were applied. The findings highlight the need to implement systematic archival processes, promote an organizational culture of document management, and provide staff training. Based on the diagnosis, a structured proposal was developed, offering strategic guidelines, technological updates, and a roadmap for continuous improvement in archival administration. The study concludes that efficient document management enhances institutional performance and can serve as a replicable model for similar organizations.

LEPRA is a disease that is known by many people, but the cases that these people know are probably scarce. Our general objective is to rebuild the memory of the lazareto of hiring through a digital collection of the stories and experiences of the people who have suffered this ailment and lived in the Lazaretos, which today are municipalities. As archival students we want to reconstruct the identity, heritage and memory through digital supports, using the documentation that this topic offers us, to achieve the reality that he has entails.
Análisis del entorno tecnológico para el estudio del estado actual y balance de los archivos en Colombia

This study investigates the technological landscape of archival institutions in Colombia, with a focus on the interplay between emerging technologies and archival management practices, as well as their implications for institutional decision-making processes. Through a comprehensive analysis, the study proposes enhancements to the Document Management and Archives Model (MGDA) by incorporating technology-driven elements and contemporary archival methodologies. Drawing on key policy frameworks, such as the Colombian Government’s Digital Transformation Framework (MinTIC), the research identifies critical technological components that could shape the future trajectory of archival development in the country. The methodological approach employs qualitative content analysis complemented by semi-structured interviews with archival experts, enabling a systematic examination of the sector’s current composition, operational environment, and prospective trends. Based on the empirical findings, this study presents strategic recommendations to optimize archival practices through the systematic integration of advanced technologies.

The article analyzes the academic production in Archi-val Studies in four scientific journals from 2019 to 2023. Using a systematic literature review methodology (SLR), it was identified that the most discussed topics in Latin American countries are the training of professionals in Archival Studies and the strengthening of archive legislation, while in Europe and North America, those top-ics convey human rights archives, memory and dissident archives. In the same way, the study expounds the most representative countries, authors and methodologies in archival academic production from the journals Archi-varia, Archival Science, Revista Interamericana de Bibliotecología and Investigación Bibliotecológica: archivonomía, bibliotecología e información to highlight the research trends that this field of knowledge has experienced in the last years.
Situación actual y balance de los archivos distritales en el sector ambiental

The characterization of archives in Colombia has been a process developed by various authors, focused on areas that generate studies and investigative analyses. The archival field requires updating this information data, as many years have passed since the last characterization studies focused on district archives, which necessitates a comprehensive view of the application of the field of knowledge, in which a conceptual, documentary, and empirical reconstruction of the environmental sector is proposed, taking into account the production and key components that produce these characterization studies viewed from their evolution through statistical reports. This is why a methodology based on the quantitative approach with a descriptive and correlational nature was used, with the use of the meta-analysis technique, explained in a structured questionnaire as an instrument for data collection, which allows collecting information on the description of the archives in the environmental sector, whose results are expected to be optimal and to provide essential empirical data for the analysis of the implementation of the archival function in the environmental sector.

The objectives, methodology and findings of the internship in Archival and Digital Information Management, focused on the implementation of archival processes in the Kombilesa Association, will be summarized. Key aspects such as classification, arrangement, digitization and preservation of documents, as well as the development of the institutional history of the organization will be highlighted.
Percepción de los ciudadanos del sector de Bosa-porvenir en la ciudad de Bogotá, frente al concepto de archivo y archivística

The objective of the present work is to perceive the generalized lack of knowledge of the inhabitants of the Bosa Porvenir sector about the Archival and Digital Information Management career and to offer a possiblesolution to make the career known, as well as the university's headquarters. A questionnaire was carried out among 300 citizens of the Bosa Porvenir sector about their perspective on the archival subject, thus demonstrating that in the collective imagination of the people there is no deepening of the importance of the profession and how the respondents are open to learn more about it. The main advantage of proposing a portfolio of short, open and virtual courses on archival matters is to save time and resources to the user, in addition to making the professional career known to new people, exposing the advantages and thus increasing the number of students of the Archivists and Digital Information Management program and improving the perspective on the importance of Record Management in the citizens.
Análisis del entorno gobernanza y político-legal para el estudio del estado actual y balance de los archivos en Colombia

This research arises from the need to define the scope of archival governance in Colombia, a topic that has been scarcely developed from a national perspective. The core issue lies in the lack of a comprehensive understanding of the governance and political-legal environment, which should integrate both theoretical and practical aspects of records management with broader public decision-making and administrative processes. Using a qualitative approach and a descriptive-analytical design, the study employed documentary analysis—drawing from sources such as the Integrated Planning and Management Model (MIPG) and the Single Form for Reporting Management Progress (FURAG)—as well as interviews with experts in archival science and information studies. The research identified the key components of the archival governance environment in Colombia and established a conceptual foundation that supports the development of a governance model tailored to the country’s social context and specific needs.
Programa de capacitación aplicando el metaverso en la gestión documental: proceso de foliación documental

The paper proposes the formulation of a training program in document management using the metaverse, taking advantage of virtual reality to offer immersive practical experiences. It highlights the need to implement document management processes in the metaverse and justifies its importance in the current context. Background research exploring the use of technology in education, including virtual learning environments, is related. The term “virtual reality” was first coined in 1938 by the French poet Antonin Artaud and has evolved to be applied in various fields. The metaverse, therefore, becomes a shared virtual space in real time, which has gained popularity and has been explored on different platforms, offering great potential for education by creating immersive and personalized learning environments. This is considered in order to generate new trends that are coupled with the technology of the future. Next, an exploratory research on the use of the metaverse in document management was conducted, using interviews and questionnaires as research techniques. The results of the survey to students of the archival program showed that most of them have no experience with the metaverse, but consider that digital tools can improve learning, and participation in digital environments strengthens the development of digital skills.

This research work is part of the monograph modality of the Universidad Distrital Francisco José de Caldas and is part of the processes carried out in the Yuyai Arkeion Digital Research Seedbed [YUARDI]. The general objective of this research is to analyze the intellectual production related to data mining and information management in the Scopus and Web of Science sources, during the period between 2018 and 2022. The methodology used in the work corresponds to a quantitative approach, which is based on statistical measures to perform the analysis of the information collected within an investigation. The indicators and equations used to search for information from sources such as Scopus and Web of science will be disclosed. Regarding the type of research, the bibliographic review was carried out in order to establish the objective of the applied research is to try to solve the research question. The method used took into account concepts such as the documentary method, based on the recovery of theoretical and historical information identified in the different sources of information to recognize the most appropriate metrics for data mining and information management. Information registration matrices were used as a collection instrument, in which the data related to the bibliometric indicators were recorded. The result of the matrices was systematized from a set of data linked to the revised indicators. From this instrument, the information collected from topics and authors who have published the most information regarding data mining and information management was analyzed; the countries and years of greatest intellectual production were taken into account. This allowed a balance of the intellectual production on data mining and information management that is found in the third chapter of this work, where the three phases (authors, countries and balance of intellectual production) that are guided by the objectives of the work are described. One of the main results of data mining is its applicability in the field of Archival Science, which makes it a useful tool for study and analysis in the field. In relation to Information Management, it has been observed that this area can be used to manage information in organizations and, in this way, optimize administrative processes. In relation to the intellectual production available by articulating both concepts in the aforementioned databases, a great production was found in the English language; countries such as the United States and China are the ones that produce the most in both areas.
Lecciones aprendidas de la gestión documental en el contexto de la pandemia 2020

This project details the results of what was the research carried out generally on the internet and a little more particularly to trained and experienced professionals in the area of Archiving, Records Management and History. The general objective of the monograph was to analyze the lessons learned from Document Management in public entities in the context of the pandemic. The methodology was developed with a qualitative descriptive research approach with an analytical method and technique aimed at a semi-structured interview that gave way to knowing different perspectives of the impact, development and change of Document Management in the labor process within the pandemic situation that crossed in 2020. It was carried out based on three phases: I) characterization of the context of the pandemic with its implications or measures in the Document Management of public entities, II) comparison of the practices and strategies developed in Document Management by public entities in the time of the pandemic, III) formulation of the lessons learned on Document Management in public entities in the context of the pandemic.

Archival instruments are an extremely relevant factor when talking about the development of the archival function in public institutions in Colombia, since thanks to them it is possible to show the treatment, importance and progress that is being made over time, to advance in document management, in accordance with the current regulations that they are obliged to comply with. The Universidad Distrital Francisco José de Caldas, by virtue of its public nature, has understood the need to have an adequate document management to support its mission processes, which is why an archival instrument such as the Institutional Archives Plan is of vital importance to provide adequate planning and monitoring of the archives management carried out by the University. For this reason in this internship we want to expose the results that have been obtained from the approval of this archival instrument by the archives committee, during the periods 2018- 2022 with the aim of determining the state of progress of each project and plan in relation to the activities and deliverables proposed in the initial formulation of this instrumennt. Initially, a definition of the instrument and its relationship with the University is addressed to give way to the elements of institutional and work context such as the methodology and state of the art. The central part of the work is then presented, which is the description of each plan and project, to later relate the results obtained in relation to each activity that has been carried out up to the year 2022. Finally, some conclusions and recommendations are presented based on the results presented above.
Propuesta de requisitos del sistema de gestión de documentos electrónicos de archivo para el programa de archivística y gestión de la información digital

This document analyzes the electronic records management system (SDGEA) from a perspective focused on the requirements of the Curricular Project of Archival and Digital Information Management (PAGID) proposed requirements, supporting this proposal to have an efficient system that complies with international standards, such as NTC-ISO 15489, NTC-ISO 30301 and NTC-ISO 16175 parts 1 and 2, as well as with the Colombian regulations of the General Archive of the Nation and the specifications of the Model of Functional and Non-functional Requirements (MoReq). The main purpose of the research is to determine the particular criteria for the electronic records management system in the aforementioned academic program. Goals related to the evaluation of standards and regulations, the identification of processes and the elaboration of requirements are established. They emphasize the relevance of regulatory frameworks and standards at the international and national levels. The methodology used is based on a qualitative research approach, employing tactics such as an interview and documentary content analysis. The study is divided into three stages, which include the review of standards and regulations, the evaluation of academic-administrative processes and the elaboration of the requirements for the system. In its entirety, the objective of this study is to present the requirements for the Electronic Records Management System (EDMS) and its administration within the framework of the project's curriculum.
Lugares representativos en la reconstrucción de la memoria visual de la localidad de Fontibón para el siglo XX : lineamientos para la creación de una página WEB

The research focuses on representative places in the reconstruction of the visual and oral memory of the town of Fontibón for the 20th century, with the purpose of building guidelines for the creation of a web page. The central objective is to analyze photographs and stories to identify the urban transformations that have been experienced over time, highlighting the representative places that are part of the history and cultural identity of its inhabitants, since these help in a certain way in its creation and development. It also seeks, through descriptive sheets, to study the visual memory of the 20th century with the purpose of creating guidelines for the creation of a web page, this in order to understand how the places worked have been built and modified. For this reason, photographs were collected from certain places such as: the church, the plaza, the main park, the fire station, among others, which are published in a Facebook group by the inhabitants of this town. In addition to the fact that the reconstruction of these visual memories serves as a way to disseminate and preserve visual and collective memory so that future generations do not have prior knowledge, they can help contribute to the richness and continuity of these stories, customs and representative places. of the 20th century so that it is not lost.
