Ítem Descripción de las fotografías de la exposición "El Testigo" de Jesús Abad Colorado(Universidad Distrital Francisco José de Caldas) Guerrero Jiménez, Angye Lorena; Cordero Vega, Pablo AndrésThe monograph analyzes the importance of the documentary description of the photographs from El Testigo exhibition by Jesús Abad Colorado as a means to understand and reconstruct the collective memories of the Colombian armed conflict. The main objective was to describe a set of images captured between 1995 and 2005 by the photojournalist, framed within the mentioned exhibition. The research, with a qualitative and descriptive approach, was based on theoretical references such as Sontag, Barthes, Heredia, Mundet, and Halbwachs, and employed documentary research supported by analysis techniques and description records. The results show that the description of documentary photographs makes it possible to reveal stories of resistance, pain, and dignity among communities affected by the conflict, highlighting Abad Colorado’s role as a visual narrator and agent of memory. This work is structured in four essential chapters, the first chapter consists of exposing the problem statement and the process through which it is possible to consider the environments that provide data and information that allow the structuring of the current situation and balance of the files. Within the sector of the Local Mayor's Office of San Cristóbal, on the other hand, there is also the general objective and specific objective where it states what will be carried out through the development of the work and what is expected to be obtained from the research. The second chapter covers what is the theoretical framework and the state of the art, this is built from the different authors and research that are related to the topic to be developed, allowing us to have a broader and more focused vision of what we want to reach and understand. within the area the current situation and the balance of the archives together with the characterization. The purpose of this thesis is to describe in detail the current status and development trends of these archives. It poses the following problematic question: How can the District Archives of the Social Integration Sector improve to adapt to the current changes and needs of the sector? To answer this question, a quantitative approach and the hypothetico-deductive method were used, with a methodology based on meta-analysis and a matrix of indicators. The thesis is divided into six key environments: governance, records management, technology, organization, occupation, and education. The methodology combined direct observation with systematic analysis of each environment, using descriptive statistics to process the information. This approach allows for understanding both individual aspects and the relationships between them, offering a comprehensive view of the current challenges in records management in the sector. In the document management environment, the analysis reveals how institutional policies promote transparency and facilitate access to information, optimizing the management of public archives. One of the most relevant findings in this context was the need to standardize document classification and preservation processes. It was observed that, in many cases, the lack of unified protocols leads to duplication of efforts and the loss of valuable information. The technological environment emerged as one of the most dynamic and transformative pillars. During the research, various specialized technological solutions were examined, including systems such as SGDEA, Dspace, and AtoM. These platforms proved to be highly efficient in managing massive volumes of data, while ensuring high standards of security and accessibility. The research highlights the importance of the National Archives Policy (NAP) in the governance context as a regulatory framework that promotes process standardization and inter-institutional cooperation. Training programs, both academic and professional, emerge as a key factor in the educational environment, developing technical skills and fostering an organizational culture oriented toward document preservation. The occupational environment revealed an extremely diverse and flexible structure of professional roles within the archival sector, ranging from basic operational functions to highly responsible strategic positions. The study documented how this variety of profiles adapts to the specific needs of each organization. One of the most significant findings was the growing demand for professionals with hybrid skills, combining traditional archival knowledge with information technology skills. This reflects the transformation, where purely technical roles are giving way to positions that require a more comprehensive view of information management. However, significant challenges were also identified, including job insecurity in some segments of the sector, particularly in operational-level positions. A significant generational gap was also noted, with difficulties integrating traditional archival knowledge with the new digital skills that organizations demand. To fully understand each of these environments, a matrix of indicators was used, which helped uncover important connections in the data and identify relevant trends. This analysis made it possible to identify key areas where concrete improvements can be made, such as investing in more modern technology and offering more effective training to staff. Furthermore, reviewing these findings together provided a glimpse into how the District Archives should evolve in the coming years, highlighting two urgent needs: keeping up with technological advances and ensuring that professionals in the field have the necessary skills to face these new challenges.Ítem Trazando la historia académica: hacia una gestión eficiente de libros de calificaciones de la Facultad de Ingeniería de la Pontificia Universidad Javeriana, en el periodo (1960-2014)(Universidad Distrital Francisco José de Caldas) Yemayuza Hernández, Catalina; Cuervo Alonso, John Francisco; Cuervo Alonso, John Francisco [0009-0002-1865-0434]This report presents the methodology and results of the internship carried out at the Juan Manuel Pacheco S.J. Historical Archive (AHJ), as a requirement to obtain the degree in Archival Science and Digital Information Management at Universidad Distrital Francisco José de Caldas. The internship focused on the archival processing of historical grade books from the Faculty of Engineering at Pontificia Universidad Javeriana (PUJ), covering the period from 1960 to 2014. The process included identification, classification, organization, and transfer of the documents. This work responds to the institutional need to improve the preservation, access, and retrieval of historically valuable academic records, which are essential for issuing certificates, verifying grades, and conducting academic background research. The proposal included the physical review of the documentary collection, its classification following archival principles, registration using standardized university formats, and the formal transfer to the university's historical archive, ensuring traceability and long-term preservation. This process is supported by the use of specialized software in the description, cataloguing, inventory and access of the pieces and collections that are preserved there, in this case, analyzed from the work of the museums in Bogotá. In this way, the protection and visibility of museum institutions has advanced not only at an international level but also at a national level, since policies and laws were established in Colombia specifically aimed at the importance of having institutions of this type, such as, for example, the General Culture Law that involves all museums in the country, not only in heritage areas, development of cultural identity and contribution to national historical memory, but also security, treatment and access to collection data that safeguard within the institution, which is also linked to document management and the use of databases to efficiently carry out the description and cataloguing, this guaranteeing access to the entire public.Ítem Potencialidades de las aplicaciones en inteligencia artificial y minería de datos para la gestión documental(Universidad Distrital Francisco José de Caldas) León Castro, Kevin Stiven; Pirela Morillo, Johann EnriqueThe digitalization of information has transformed document management, requiring tools to optimize organization and retrieval. Artificial intelligence (AI) and data mining have emerged as key solutions to automate processes and improve decision-making. This monograph analyzes their impact on document management, addressing theoretical foundations, implementation strategies, and future trends. Using a qualitative approach, expert interviews on AI and document management were conducted, with data analyzed through categorization and triangulation. Findings show that these technologies facilitate classification and data extraction, optimizing efficiency. However, challenges remain, such as infrastructure limitations and the need for specialized training. The guidelines are developed from the disciplinary perspective of archival science, with the goal of facilitating consultation and information access for any user interested in exploring this subject in greater depth. These repositories are expected not only to ensure long-term preservation, but also to serve as effective tools for the use, dissemination, and access to musical heritage and its diverse documentary formats. During the research process, digital guidelines were characterized as a tool for the preservation of musical documents. The main formats and types of music-related documents were identified, which allowed for the development of technical and functional guidelines aimed at ensuring the preservation of musical sound archives. To create this product, a research process was conducted to identify the most relevant attributes related to guidelines for musical repositories. These posters, traditionally considered ephemeral documents, possess documentary, aesthetic, and testimonial value that justifies their inclusion in formal archival processes. The general objective of this work was to formulate a proposal for the archival description of advertising posters found in the cafés of La Candelaria, allowing for their proper identification, preservation, and access. Theoretical references included concepts such as archival description, cultural heritage, advertising posters, art curatorship, and the role of cafés as "third places" in social life. Following a qualitative approach, the research used documentary analysis as a method and applied techniques such as semi-structured interviews, content analysis, georeferencing, and descriptive records based on international archival description standards. Key results include the creation of a map showing the location of the cafés, a hybrid descriptive form, and a curatorial proposal with six thematic lines, allowing for the interpretation of posters as cultural objects of heritage value. Given the lack of a documentary scheme and the limited attention from authorities and organizations responsible for cultural preservation in the conservation processes, this is emphasized as a main objective. It focuses on the ERCE-Danza group's dancing practice, which was conducted in Bosa Laureles from 2018 to 2023. The proposal calls for the use of photography to create a documentary record, acknowledging that the documentation not only documents artistic endeavors but also acts as a repository of the group's social and cultural evolution, strengthening ties and reflecting its past. Through a mixed-methodological investigation, the ERCE-Danza group's perspectives and experiences were examined. The management and classification of visual memory documentation was approached by incorporating photography with additional narrative to enhance the documentation process. Consequently, it employs the human digital platform "TROPY" to systematize the photographs, making it easier to preserve and organize the visual memory. The document highlights how photography has been used as an essential tool to conserve the dancing practice, identifying the body, the moment itself, and the rhythm as significant visual categories in the group memory record. This project not only presents dancing as art but also strengthens the identity and group unity, promoting a valuable memory and cultural heritage. The study identifies the absence of a Document Management System (DMS) and inadequate archival infrastructure, which undermines administrative efficiency and regulatory compliance. Using a qualitative research approach, tools such as surveys, direct observation, SWOT analysis, and a diagnostic checklist were applied. The findings highlight the need to implement systematic archival processes, promote an organizational culture of document management, and provide staff training. Based on the diagnosis, a structured proposal was developed, offering strategic guidelines, technological updates, and a roadmap for continuous improvement in archival administration. The archival field requires updating this information data, as many years have passed since the last characterization studies focused on district archives, which necessitates a comprehensive view of the application of the field of knowledge, in which a conceptual, documentary, and empirical reconstruction of the environmental sector is proposed, taking into account the production and key components that produce these characterization studies viewed from their evolution through statistical reports. A questionnaire was carried out among 300 citizens of the Bosa Porvenir sector about their perspective on the archival subject, thus demonstrating that in the collective imagination of the people there is no deepening of the importance of the profession and how the respondents are open to learn more about it. The core issue lies in the lack of a comprehensive understanding of the governance and political-legal environment, which should integrate both theoretical and practical aspects of records management with broader public decision-making and administrative processes. Using a qualitative approach and a descriptive-analytical design, the study employed documentary analysis—drawing from sources such as the Integrated Planning and Management Model (MIPG) and the Single Form for Reporting Management Progress (FURAG)—as well as interviews with experts in archival science and information studies. The research identified the key components of the archival governance environment in Colombia and established a conceptual foundation that supports the development of a governance model tailored to the country’s social context and specific needs.
