Resumen
This final internship report aims to clearly present the experiences, lessons learned, and the context in which the internship took place. The organizational, technological, and social contexts were key to its development. At the organizational level, Honeywell is a company whose main pillar is innovation, generating multiple technological solutions worldwide in specific business groups such as Industrial Automation, Aerospace Technology, Building Automation, and Sustainable Energy Solutions. Specifically in Colombia, it has pilot projects that contribute to the mitigation of greenhouse gas emissions. In the technological context, we find ourselves at a point where; to remain a competitive company in the market, it is necessary to leverage available technological tools such as Information and Communication Technologies (ICT). Socially, the company fosters an inclusive and collaborative environment where an innovative spirit is encouraged, along with the freedom to propose and develop solutions that significantly impact the organization’s performance. Despite being a leader in automation, small internal processes that collectively contribute to a major issue were identified: project document management is handled individually and in a decentralized manner by each Project Manager. This leads to errors, delays in document delivery, and even loss of documents, not to mention the lack of effective tracking and proper auditing mechanisms. To address this issue, a solution was proposed to automate and analyze project management by integrating ICT tools. As a result, a solution was developed integrating Power Automate, Power BI, Power Apps, instant communication systems such as Microsoft Teams and Outlook, and SharePoint. The total time required to run all flows is approximately 14 minutes and 48 seconds, with the longest flow being the initial one, since it includes actions that must be manually completed by the Project Managers. Its duration is around 12.23 minutes. The remaining flows—responsible for notifications, control, document synchronization, and project tracking—take nearly 3 minutes in total. However, some flows run simultaneously, and the number of flows that can be executed under Honeywell’s current license is unlimited. Thus, an extremely effective solution was achieved that enables the automatic creation of Microsoft Teams groups with unique names, with dedicated channels for Project Managers, Engineering, and HSE teams; the creation of folder structures based on Honeywell’s GPM standard; and the synchronization of documents with Power BI and Power Apps for monitoring and analysis, along with SharePoint lists for centralization. All of this enables audits by providing access to multiple KPIs and the ability to generate dynamic reports automatically.
