Resumen
The following is a summary that is generated based on the report presented on the execution of the project, which is carried out in the Grupo Energía Bogotá E.S.P, entitled “TOOL FOR THE MANAGEMENT OF THE INFORMATION OF THE CONTRACTS OF THE INFRASTRUCTURE AND SERVICES BELONGING TO THE SUPPLY AND SERVICES DIRECTION OF THE ENERGÍA BOGOTÁ GROUP” and is presented as an internship to obtain the title of Industrial Engineer at the Francisco José de Caldas District University. This aims to develop a tool to manage contract information, which is carried out through the following processes: diagnose the current situation of the contracts, identify the status of each of them, manage the settlement process of contracts and generate reports to share with the infrastructure and services management of the supply and services management of Grupo Energía Bogotá and the Francisco José de Caldas District University. The challenge of the project is to optimize the management of contract information under the responsibility of the infrastructure and services management of the supply and services department, making use of various skills and knowledge obtained during the studies, such as basic programming, innovation technology, knowledge management, information management, systems theory and organizational management. During the time in which it was executed, activities were carried out such as: generating monthly reports to the control and accounting department, supervising the management of requests made to management, informing leaders about the management of contracts in the process of liquidation and evaluate the compliance of the areas that make up management. In the conclusion of the study, it is highlighted that the project made it possible to identify and eliminate bottlenecks in the contract settlement process by implementing a tool created and developed in Excel, in this way it was possible to optimize the process to manage new contracts and generate a contingency plan to accelerate the contracts that were stopped, thus allowing us to evaluate and record the management of the audit of each of the contracts. In addition, the budget development of contracts in execution was managed, providing alerts to leaders about compliance, giving more time to make decisions about their administration. Finally, the Excel tool made it possible to finalize the contracts in liquidation during the development of the project, complying with the deadlines established in the procedure, demonstrating that proper use of the tool allows better management of contracts.
